Creating a Secure YaleSite

Hello,

YSN’s clinical coordinators inquired about creating/setting up a secure YaleSite in which they can gather data about potential/future nursing preceptors. It is currently a PDF form that is mailed to these individuals, which they fill out and mail back. We discussed adding it as a PDF file to the YSN website (nursing.yale.edu), but the form asks for social security number. We want to make sure we are securely transferring the SSN and were unsure if email is secure enough (for the person to attach the PDF with their SSN filled in).

How complicated and lengthy is the process to create, build, and approve a secure YaleSite on which we can gather this information?

Please let me know if you need any clarification.

Thank you!

Meghan

We will look into this, but we normally don’t allow the transfer of sensitive information on YaleSites and SSNs would be considered sensitive information.

Hi Nancy,

Ok, I appreciate it! Please let me know if it is possible and/or if you have another solution in mind.

Thank you!

Meghan

Hi Meghan,

I checked and storing anything with a YaleSites with a SSN. I would check with the ITS Security group regarding other options. http://its.yale.edu/secure-computing Anything with a SSN should be handled in a secure environment and neither email or YaleSites provides that level of security.
